Proctors Collaborative Privacy and Security Policy

1. Our Commitment
At Proctors Collaborative (“Proctors,” “we,” “our”), we respect your privacy and your right to control your personal information. We do not sell or rent personal information. This policy explains what information we collect, how we use it, and your choices. It applies to all Proctors websites (including tickets.proctors.org, proctors.org, proctors.net) and to all interactions with Proctors online and offline.
2. Donor Privacy
We value the trust of our supporters. Donor names, addresses, and giving history are kept confidential. We do not sell, trade, or share donor information with other organizations. Donors may request anonymity for recognition at any time.
3. Information We Collect
Personal Information: Name, address, phone, email; Payment details (processed securely; card data not stored on web servers); Ticket purchases, memberships, donations, attendance history; Job or volunteer applications
Automatically Collected: IP address, device, browser type, operating system; Site usage, clicks, referring pages; Cookies, tags, and analytics
From Partners & Networks: Ticketing platforms (e.g., Theatre Manager); Food & Beverage/Retail Sales (e.g. Square POS); Analytics providers (e.g., Google Analytics, Tag Manager); Advertising partners for remarketing
4. How We Use Information
Process transactions, memberships, and donations; Communicate about performances, events, programs, and opportunities; Send newsletters, fundraising appeals, or SMS updates (with your consent); Recognize donors (unless anonymity requested); Improve services and website functionality; Comply with legal obligations.
5. Mailing Lists & Opting Out
If you subscribe to our email or print lists, we may contact you about shows, offers, or services. You may unsubscribe anytime by emailing unsubscribe@proctors.org, calling our Box Office at 518-346-6204 or via USPS mail at 432 State Street, Schenectady, NY 12305.
6. Wi-Fi & On-Site Data
When using Proctors’ Wi-Fi, we may collect aggregate information about browsing and network use to improve service. This data is not linked to your personal identity.
7. Information to Third Parties
Shared only with trusted service providers (ticketing, payment, marketing, IT); May be shared with producers/presenters of shows you attend; Occasionally shared in aggregate for research; Contest or promotion entries may be shared with sponsors, but we will clearly state when this applies. We do not sell personal information.
8. Payment Security
All payments use SSL/TLS encryption; Proctors is a validated PCI DSS Compliant Service Provider; Credit card numbers are used only to process purchases/donations and are not stored on public servers.
9. Cookies & Advertising
We use cookies and similar tools to track e-commerce transactions, personalize content/ads, and measure campaign effectiveness. Third-party advertising partners may place cookies or beacons. You can opt out of Google Analytics by visiting https://tools.google.com/dlpage/gaoptout.
10. Your Rights
You may: Access personal information; Request corrections or updates; Request deletion (unless required by law); Request a copy (data portability); Opt out of marketing emails or SMS anytime.
11. Children’s Privacy
We do not knowingly collect information from children under 13. Programs and events geared toward youth will not request personal or contact information for registration. Parents/guardians may contact us if they believe a child’s data was provided, and we will delete it.
12. International Users
Our services are operated in the United States. By using them from outside the U.S., you consent to your information being processed here.
13. Security & Retention
We use firewalls, password protection, encryption, and secure databases. Information is retained only as long as needed for business or legal purposes.
14. Links & Embedded Content
Our websites may contain links or embedded content (videos, etc.) from third parties. Their data collection is governed by their policies, not ours.
15. Changes to this Policy
We may update this policy periodically. Significant changes will be communicated via email or other appropriate means. The most current effective date will always be listed at the top of this page.
